Chairperson Guidelines & Responsibilities 

 
 
Thank you for chairing a TMS PTA event!
 
The PTA sincerely appreciates your talent, time and effort. To help make all PTA events run smoothly, please make sure to read the following chairperson guidelines & responsibilities.

Sign up to Chair/Co-Chair by contacting the VP of Volunteers and having him/her assign you the Chair position.
 
Submit a completed Form 1212AR to the main office prior to commencing any volunteer work.
 
Get volunteers to help. Number will vary based on the needs of your event. You will be provided with a list of volunteers for your committee from the VP of Volunteers within a few weeks of the start of school. If you require additional help, solicit the assistance of volunteers by placing requests for assistance in the TMS PTA flash. Ask friends to help with your committee. Ask the Done In A Day chair for volunteers if you still require additional help shortly before the event.
 
Contact your volunteers and give them an overview of what your event entails and the work that needs to be done. Delegate accordingly.
 
Within 30 days of the completion of your event, make sure to send any modifications that was made to the specific guidelines & responsibilities to the VPs of Volunteers, the VP of Communications and the president.  The changes can then be posted back on this website so that future chairs have an updated outline from which to work.  You may also choose to submit additional notes as you see fit.
 
Know your budget for the event. The VP of Volunteers will give you this information.
 
Consult the Committee Report from the prior year which should provide you with information sufficient to run your event smoothly. If you have questions or concerns, consult the prior chair and/or the VP of Volunteers. 
 
To the extent you purchase supplies for your event, keep receipts. Return them with your completed Reimbursement Request Form to the Treasurer.
 
If you are chairing for a fundraising event such as the Walkathon, Book Fair, Spirit Wear, make sure to have either the treasurer, or another chair present to count and verify the money at the end of each event.  The money collected needs to be turned over to the treasurer for deposits within 24 hours of the event with this deposit form.
